How do you manage your projects

Supervising projects is a complex job that involves dealing with 4 constant components: expenditure, schedule, duration and producing a satisfactory result. Qualified PMs also try to make the organization of business processes better. Look at your project and you will notice that it employes people, funds and tools to produce end results. To manage projects effectively you have to deal with a number of factors. You can look through a few of these factors below:

- Setting objectives and carrying out analysis.

- Dealing with risk. Take any project and you will see that it has a lot of risks that should be accounted for.

- Choosing labor and equipment for the project.

- Having a clear idea about the result you wish to obtain on completion of the project.

- Controlling what is going on: assigning jobs, supervising execution.

- Assuaring quality.

- Managing changes. Everything changes. Most projects occur in time, so the element of dynamics has to be properly considered.

- Communicating with sponsors and participants of the project.

Traditional ways of running projects, such a pen and paper, can be used to deal with most of these things. But you get quite a few advantages if you choose to employ project tracking software:

- It simplifies scheduling. The software will process timing calculations. It is possible to create work time-tables for different resources. It also makes it simpler to track the work-in-progress on relevant tasks.

- Working with a number of projects and meeting a set of specifications. Executives can use project tracking software to simplify portfolio of projects analysis.

- It assists you in finding the critical path. The critical path of a project consists of jobs that determine the actual duration of the project. If an activity on the critical path takes more time than expected, dates of work on other tasks will be changed. It should be noted that for activities that are not on the critical path minor changes in how long it takes can have no effect whatsoever on other activities.

- Letting everybody involved be aware of what is happening. Complicated projects require information exchanges. Productivity tracking software makes distribution of data easier than it has ever been before.

Is it always a must to employ task tracking software?

Project tracking software might not be suitable in 100 percent of all cases. The most suitable time to use such software is when you supervisea few big projects. Little projects can be supervised using a spreadsheet program which allows you to save on overhead costs of managing fairy complicated software.
