How does one track your projects

July 3rd, 2008

Project management is a complex job that has to do with four traditional components: expenditure, schedule, duration and producing a satisfactory result. Qualified project managers also try to make the organization of business processes more efficient. Most undertakings employ such elements as people, funds, and equipment to produce results and meet objectives. You should know that there are a lot of contributing factors that are very important for successful project management. Some of them can be found in the next paragraph:

- Task setting and assessing progress.

- Handling uncertainty. The majority of projects feature a certain level of risk.

- Choosing people and equipment for the project.

- Understanding the outcome you wish to obtain when the project is finished.

- Controlling what is going on: giving out tasks, supervising execution.

- Assuaring quality.

- Managing changes. Circumstances change. All tasks occur in time, so the element of change should be properly considered.

- Talking to everybody involved with the project.

To manage these issues you can employ pen and paper or perhaps MS EXCEL. Nevertheless, dedicated project tracking software offers a lot of significant advantages:

- It simplifies scheduling. The length of work can be calculated by the program depending on the workload information. You can set work calendars for various employees. It also makes it simpler to track progress on various tasks.

- Managing a few projects with various requirements. Productivity tracking software allows project managers to seea larger picture and collect information on a number of projects.

- Critical path becomes clearly visible. The critical path of a project consists of tasks that determine the actual length of the project. Should an activity on this path change duration, the rest of the project will be touched by this change. At the same time for tasks that are outside the critical path minor changes in how long it takes can have no impact whatsoever on the project.

- Letting everybody involved know what is happening. Complicated projects demand a lof of data exchanges. Groupware productivity tracking software allows everybody to know what is up at any given point in time.

Is it always necessary to use task tracking software?

Project tracking solutions might not be suitable in 100 percent of all cases. It delivers the best value when used for a number of big projects. It could be a good idea to operate simple projects by hand, so that you do not have to pay big overhead connected with using complicated programs.
